I am always looking for new ways to improve my productivity on iPad. I have found over the years that often it is the smaller, easier tips that make the biggest difference.
In this post we will take a look at some of these easy, time saving Pro-Tips that have helped me a lot!
1.) Share Sheet Optimization

When working on iPad the Share Sheet plays a vital role, it’s where most of our App’s inbound and outbound operations occur from. It is also how we send, save and export. It’s where we perform contextual tasks, such as “Add to Home Screen”, “Add to Reading List”, “Find on Page” and so on.
But you can do so much more from the Share sheet which will help you speed up your work flows and boost productivity.
Step 1. – Re-organize the App Row
Take a minute to rearrange your Apps from left to right by order of priority in the App Row. You will save a ton of time by simply doing just this. To customize this row, scroll to the end of the App Row and Tap “More” as shown below.

Then Tap “Edit” and add (+) and reorder the apps to the top that you use most often.

For example, I am constantly adding documents into Yoink, to later drag and drop into, iMessage and Spark etc, so therefor it makes productive sense for me to have Yoink as my first option, then iMessage and then Spark.
2.) Use Multiple Shared reminder Widgets
Working in a company means you are likely part of a team, even if your company is a two man team. This means you and the team rely on each other to get work done. Shared Reminder lists let you see who you’re waiting on (and who’s waiting on you), so you can keep the ball rolling.
Mike & I have found it particularly useful to have a dedicated “Reminders” screen as one of our Home Screen’s. This Reminders screen comprises of just “Reminder App” Widgets which are each shared between two people, one for each of the team members. This way if a member of the team needs something from me, they can just pop it into the reminders list I share with that person, and that way it’s not forgotten. *This works well for families too.

You can see above, this is a quick way to see if there is anything outstanding across an entire team and a glance.
You can even go a step further and set a widget to just display tasks that are “Assigned to you”, for say a shared list of a large project. Mike is going to do a deep dive into the Reminder’s App and how we use it in a future blog post, so look out for that!
3.) Memorize the Quick Note shortcut
Whether you are on the phone to a customer, jotting down something your boss has just asked you to do, or writing down the phone number of a person you need to call, you will need to capture that information somewhere, but, you may not have a pen and paper handy, or have the right App open in the moment to use your Apple Pencil.
So remember this keyboard shortcut, “🌐+Q”. This handy shortcut pulls up a “Quick Note” from the bottom right hand corner of your screen.
If you need to get to your recently saved Quick Notes, simply open the “Notes App” and at the top left of your notes side bar, you will see “Quick Notes”.
This has saved me countless times, I am sure it will do the same for you.
